Position Announcement

We are currently looking to hire a full-time Public Programs Officer.
How would you like to be a member of the Aspen team, part of the Public Programs Department where you will be responsible for the implementation and delivery of the
national and international events of the Aspen Institute Romania?
The Public Programs Officer will have to contribute to the achievement of the institute’s events through market research, program and format development, liaison with speakers and participants, management of temporary event staff, event evaluation and analysis, making recommendations to develop and improve future events.
Key responsibilities
Assisting in planning and delivering on-site as well as off-site activities and events which will include:
  • Drafting guest lists and events databases for keynote speakers, introductory speakers and moderators, participants, and media (access, excel and word format);
  • Managing event correspondence: writing and sending out invitations (in English and Romanian), including registration & follow up;
  • Keeping the events and programs participants data-base updated;
  • Preparing the written materials, readings and the index of readings and conference materials (e-format);
  • Preparing, editing and printing conference documentation, synopsis and reports;
  • Handling travel arrangements for speakers and participants;
  • Negotiating with suppliers, handling logistics, post-event reporting;
  • Cooperating with the Aspen team and partners in delivering large scale, complex public events.
Provide high quality events support and advice to other members of the AIR team:
  • Contribute to the development of good practice policies on various aspects of events, marketing and communications, including email protocol, standard events formats and templates
  • Supporting the other Departments (Leadership & Policy Programs) in organizing a number of different events simultaneously;
  • The candidate must work well under pressure, ensuring the smooth and efficient running of an event.
Qualifications and Skills
  • BA or MA degree in a relevant field of study and a sound knowledge of current national and international issues;
  • Minimum 1 year of experience working in project/event management. Financial and/or administrative experience is highly desirable;
  • Excellent verbal and written communication skills and fluency in spoken and written English;
  • Proficiency in the use of spreadsheets, word processing and presentation software;
  • Excellent organizational, administrative, financial and analytical skills are required;
  • Exceptional interpersonal skills in collaborating and communicating effectively with others;
  • Ability to function under pressure with minimal supervision and handle numerous tasks simultaneously;
  • Initiative and the ability to work efficiently in a fast-paced, demanding environment with conflicting and changing priorities.
